The Ultimate Guide to Creating a Digital Guidebook

By StaySpark Team

A great digital guidebook is one of the highest-leverage things you can create as an STR host. It reduces repetitive guest questions, improves the check-in experience, and consistently leads to better reviews.

Why Go Digital?

Paper binders get lost, damaged, and outdated. A digital guidebook lives on your guest's phone, can be updated instantly, and can include interactive elements like maps, links, and videos. Guests can access it before they arrive, helping them plan their trip and building excitement about their stay.

Essential Sections

Check-In & Check-Out

This is the most critical section. Include step-by-step directions to your property (with photos), door code or key instructions, parking details, and Wi-Fi credentials. For check-out, list your expectations clearly: where to leave keys, trash procedure, thermostat settings, etc.

House Rules

Present rules positively and concisely. Instead of "NO PARTIES," try "Our neighbors appreciate a peaceful environment, so we ask guests to keep noise to a comfortable level after 10 PM." Cover quiet hours, smoking policy, pet rules, and maximum occupancy.

Appliance & System Guides

Short videos or photo guides for anything that's not immediately intuitive: smart TV setup, coffee machine, hot tub controls, fireplace operation, thermostat programming. These drastically cut down on "how do I use...?" messages.

Local Recommendations

This is where you shine as a local expert. Curate your favorite restaurants, coffee shops, grocery stores, hiking trails, and attractions. Organize by category and include distance/drive time. Personal recommendations feel authentic and guests love them.

Emergency Information

Include the property address (guests forget this more than you'd think), your contact number, local emergency numbers, nearest hospital, and location of first aid kit, fire extinguisher, and emergency exits.

Pro Tips

Send it early. Share your guidebook 2-3 days before check-in, not on arrival day. This gives guests time to review it and reduces day-of questions.

Keep it updated. Review your guidebook quarterly. Restaurants close, hours change, and seasonal activities rotate. An outdated recommendation reflects poorly on you.

Make it branded. Your guidebook is an extension of your hosting brand. Use consistent colors, include your logo, and maintain a warm, professional tone throughout.
